Our policy

InfraNEDs is a professional network activity from Lemon Tree Advisors Ltd, 3 Basin Approach, London E14 7JA, (“We”) are committed to protecting and respecting your privacy. This policy sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it. We are the controller of the personal data that you provide to us. Our nominated representative for the purposes of processing personal data is Patricia Rodrigues.

 


1. INFORMATION WE MAY COLLECT ABOUT YOU


1.1 Information that you provide to us: Personal data is information about an identifiable individual such as name, job role, organisation, geographical address, telephone number and email address together with payment details. We may collect and process personal data about you as follows:


● Information that you provide by filling in the forms on our site www.infraneds.org (our site) and other online platforms managed by us (including Whatsapp, Email and LinkedIn). This includes information provided at the time of joining the network, signing-up to use our site, registering and/or providing feedback or an event or other services.


● We may ask you to complete surveys that we use for research purposes, although you do not have to respond to them.


● If you contact us, we may keep a record of that correspondence. We may also ask you for information when you report a problem with our site.


● Audio and Video: We do not make any recordings of room conversations. The network may in due course employ the use of recording solely in the case of keynote events and interviews. Any keynote events or interviews which are recorded will be clearly flagged as being recorded, and permission to upload this content on the internal group platforms will be gained from every speaker involved. No content resulting from event rooms will ever be made available to an external third party, unless management is required to do so in order to comply with the law. Audio and video from (i) private room conversations (ii) muted speakers and (iii) audience attendees are not captured.


● Social Media Data: We have pages on social media groups/sites such as Whatsapp and LinkedIn(“Social Media Pages”). When you interact with our Social Media Pages, we may collect Personal Data that you elect to provide to us. In addition, the companies that host our Social Media Pages may provide us with aggregate information and analytics regarding the use of our Social Media Pages.


1.2 We shall process all such personal data in accordance with this Privacy Policy. Certain personal data is mandatory to be provided to us in order that we can fulfil your request, for example to create an account with us, and we shall make this clear to you at the point of collection of the personal data.


1.3 All personal data that you provide to us must be true, complete and accurate. If you provide us with inaccurate or false data, and we suspect or identify fraud, we will record this and we may also report this to the appropriate authorities.


1.4 When you contact us by email or post, we may keep a record of the correspondence and we may also record any telephone call or online meeting we have with you.


1.5 Information we collect automatically:
We collect some technical and usage information about you automatically when you visit our websites or use our services including, but not limited to:


● traffic data, location data, weblogs and other communication data, whether this is required for our own billing purposes or otherwise and the resources that you access


● information about your computer, including where available your IP address, operating system and browser type.


This information is useful for us as it helps us get a better understanding of how you are using our website, groups and services so that we can continue to provide the best experience possible (e.g. by personalising the content you see). Some of this information is collected using cookies and similar tracking technologies.

 


2. COOKIES


Our website uses cookies to distinguish you from other users of our website. This helps us to provide you with a good experience when you browse our website and also allows us to improve our site.

 


3. WHERE WE STORE YOUR PERSONAL DATA


3.1 The data that we collect from you may be transferred to, and stored at, a destination outside the United Kingdom and/or European Economic Area (“EEA”). By submitting your personal data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.


3.2 Unfortunately, the transmission and storage of information on the internet is not completely secure. We will do our best to protect your personal data, however we cannot guarantee its security. Once we have received your information, we will use best-practice procedures and security features to try to prevent unauthorised access. If we do become aware of any breach of our security that may have compromised your personal data, we will use best efforts to notify you without delay.


4. USES MADE OF THE INFORMATION


4.1 We use information held about you to perform your contract with us, where you have consented to such use, where we need to comply with legal or regulatory obligations and/or for our legitimate interests. We may therefore use your information for the following purposes:


● To provide you with the information, products or services that you request from us.


● To provide you with information on new products or services that we feel may interest you.


● To ensure that content from our site is presented in the most effective manner for you and for your computer.


● To allow you to participate in interactive features of our service, when you choose to do so.


● To notify you about changes to our services.


● For administering our website and other systems, including by disclosing your personal information to organisations to whom we outsource functions (such as mailing and IT service providers). We prohibit our outsourced providers from using or disclosing your personal information except for their service to us or as required or authorised by or under law.


4.2 We will also use your information to provide you with information about board positions and services which may be of interest to you and to create and publish relevant content, for example: to create attendee lists for events you register for; where you take part in an online forum you should be aware that your details will be visible to other participants in the forum; and where a person with a user account for our LinkedIn InfraNEDs group, that person can access the name, organisation and profile summary of any other person with a user account for our LinkedIn InfraNEDs group who has chosen to make their WOB Profile public.


4.3 By joining in the InfraNEDs network you opt-in to receive our communications administering, our news and events and board vacancies. you can amend your preferences to opt-out at any time by e-mailing us.


5. DISCLOSURE OF YOUR INFORMATION


5.1 We will not disclose your personal information publicly or to other InfraNEDs or users of the site, unless we have your express permission – with the exceptions below.


We may disclose your personal information to third parties:


● If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of use or our terms and conditions of supply and other agreements; or to protect the rights, property, or safety of InfraNEDs, our fellow NEDs, or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.


5.3 We may disclose your personal information to our partners in following circumstances only:


Our Events: We provide our carefully selected external speakers and facilitators at our events with a guest list of those InfraNEDs who have registered to attend. We may circulate delegate lists to other InfraNEDs participating in the event or programme. This may include your names, public LinkedIn profile link, but we will never pass on contact details without your additional, explicit permission.


We cannot be responsible for the actions of these organisations, and they will process your personal data as a controller; but we do ask them to comply with all applicable data protection legislation in relation to use of your personal data.

6. MARKETING


6.1 Our site may, from time to time, contain links to and from the websites of other networks and resources. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites.


7. YOUR RIGHTS


You have a number of rights under applicable data protection legislation. Some of these rights are complex, and not all of the details have been included below. Further information can be found at: https://ico.org.uk/your-data-matters/


● Right of access: You have the right to obtain from us a copy of the personal data that we hold for you.


● Right to rectification: You can require us to correct errors in the personal data that we process for you if it is inaccurate, incomplete or out of date.


● Right to portability: You can request that we transfer your personal data to another organisation.


● Right to restriction of processing: In certain circumstances, you have the right to require that we restrict the processing of your personal data.


● Right to be forgotten: You also have the right at any time to require that we delete the personal data that we hold for you, where it is no longer necessary for us to hold it. However, whilst we respect your right to be forgotten, we may still retain your personal data in accordance with applicable laws.
We reserve the right to charge an administrative fee if your request in relation to your rights is manifestly unfounded or excessive.

If you believe that we have breached applicable laws, or this privacy policy, then you have the right to make a complaint to the Information Commissioner at https://ico.org.uk/concerns/


If you are outside of the UK, you have the right to lodge your complaint with the relevant data protection regulator in your country of residence.

 


8. RETENTION OF PERSONAL DATA


8.1 We retain your personal data in accordance with applicable laws. We will periodically remove records for all InfraNEDs with email addresses which are no longer valid or otherwise ‘bounce’ or after a 5 year period since your last interaction with the network.


8.2 If you wish us to delete your records earlier, please make this request in writing and we will do so within a reasonable time frame, except where we are required to retain your personal data for longer to comply with accounting and taxation requirements.

 


9. CHANGES TO OUR PRIVACY POLICY


We reserve the right to make changes to this privacy policy at any time. Any changes we may make to our privacy policy in the future will be posted on this page and, where appropriate, notified to you by e-mail.
